AquaNexus Privacy Policy

This policy explains how AquaNexus handles information when you use the AquaNexus Android app and the aquanexus.app website.

About this policy

This Privacy Policy applies to the AquaNexus Android application and the AquaNexus website at aquanexus.app. AquaNexus is the developer and operator of these services.

AquaNexus is designed as an offline-first aquarium management app. Normal use does not require an AquaNexus account or login. Most aquarium records you create in the app are stored locally on your device rather than in an AquaNexus cloud account.

This policy also explains the limited situations where information is transmitted, such as when you deliberately use an online feature, Local Wi-Fi Sync, optional diagnostic reporting, location-dependent weather features, or website forms.

Information stored locally by the Android app

The app may store information you choose to enter or create, including aquarium and pond records, livestock records, water-test results, source-water information, water changes, maintenance, feeding, medication and treatment records, breeding records, reminders, supplies and equipment, plants, sales and history, timeline entries, settings and personalisation choices.

Photos or attachments you add to AquaNexus may also be stored on your device. These local records are used to provide the app's aquarium-management features.

Local app data is not automatically treated as an AquaNexus cloud account. It remains on the device unless you choose a feature that moves or transmits particular information, such as backup/export, Local Wi-Fi Sync, Master Transfer, an online request, or an optional diagnostic report.

Backups, restore and readable exports

AquaNexus can create backups and readable-data exports and can restore supported backup data. When you create or export a file, it is saved to a location made available by Android or selected by you. Exported or backed-up files remain under your control after they leave the app.

Deleting the app's local records does not automatically delete copies you previously exported, backed up, copied or shared outside the app. You are responsible for deleting those separate copies when you no longer want them.

Local Wi-Fi Sync and Master Transfer

Local Wi-Fi Sync and Master Transfer are intended to move AquaNexus data between trusted devices on the same local network. You choose when to pair or approve devices and when to start a transfer.

Data used by these features is transmitted across your local network to the device you select. These local-transfer features are not intended to create a cloud copy of your aquarium database on AquaNexus internet services. You should only pair devices you trust and use a network you control or trust.

Online app features and remote AquaNexus data

Some features require an internet connection. Depending on the feature, the app may contact AquaNexus website or data services, or an external data service, to retrieve information or process a request. Examples can include Ask AquaNexus, species or library content, Help & Guides, Australian source-water or tap-water information, pond weather, update checks, and similar online guidance or data features.

When you use an online feature, the information needed to perform that request may be transmitted. This can include text you enter, a location or area you select for a location-dependent feature, a selected content or species reference, or other information you deliberately provide to that feature. Internet services also receive ordinary connection information needed to deliver the request, such as an IP address, request time and basic technical request information.

Remote information returned to the app may be converted or displayed using your selected measurement system. Measurement conversion is a display function and does not mean your full local aquarium database is uploaded.

Optional diagnostic and error reports

AquaNexus includes optional diagnostic or error reporting. Diagnostic reports are opt-in. AquaNexus does not silently submit these reports in the background as part of normal app use.

Before a report is sent, you are shown the information included in that report and can decide whether to submit it. If you submit a report, the information shown in the report preview is transmitted so the developer can investigate errors, crashes, compatibility problems or other technical issues.

Location and Pond Weather

General AquaNexus use does not require location information. A location-dependent feature such as Pond Weather may use a location you enter, select or choose to provide. If a version of the app offers Android device-location access, that access is only used after you grant the relevant permission.

When location is used to obtain weather or other location-specific information, the location or area needed for the request may be sent to the service that supplies that information. AquaNexus does not use location for unrelated advertising or to build a location-tracking profile.

Android permissions and device access

AquaNexus may request Android permissions only when they are needed for a feature you choose to use, such as accessing photos or files you select, saving or restoring supported files, connecting to devices on a local network, or using location for a location-dependent feature where supported.

Android controls whether a permission is granted. You can review or change app permissions through your Android device settings. Refusing an optional permission may prevent the related feature from working but should not prevent unrelated offline aquarium-management features from being used.

Website information we collect

When you join the AquaNexus early-access list, send feedback or otherwise submit a website form, we collect the information you provide. This may include your email address, message, consent choices and the information you place in the form.

The website and its hosting, security and delivery services may also process limited technical information needed to operate and protect the site, such as IP address, browser or device information, requested pages, request time and security-related logs.

How we use information

We use information only for purposes connected with operating AquaNexus and the feature for which the information was provided. This can include providing requested app or website functionality, delivering requested online content, syncing data between devices when you initiate it, responding to feedback, managing early-access communications, troubleshooting submitted diagnostic reports, maintaining security, preventing abuse, and improving reliability and usability.

We do not sell personal information.

Payments and optional support

If you choose to support AquaNexus through the website, you may be directed to the developer's public PayPal entry. PayPal processes that transaction under its own privacy practices. AquaNexus does not receive or store your complete payment-card or bank-account details from PayPal.

Website advertising, cookies and external resources

The AquaNexus website may display advertisements supplied by Google AdSense. Google and its partners may use cookies or similar technologies to deliver, measure and, where permitted, personalise advertising. Where consent is required, appropriate choices should be provided before non-essential advertising technology is used.

The website may also load resources supplied by external providers, including Google-hosted font resources. Those providers can receive ordinary connection information when your browser requests their services.

The Android app's local aquarium records are not provided to website advertisers merely because you use the app.

Service providers and when information is shared

AquaNexus uses service providers where needed to operate particular services. These can include:

  • Formspree, which processes website feedback and early-access form submissions;
  • PayPal, which processes optional website support payments;
  • Google, which may provide website advertising, font delivery and Google Play distribution services;
  • Cloudflare and related hosting or delivery infrastructure used to serve, secure or operate AquaNexus website and data services; and
  • WeatherAPI, which supplies weather and forecast information when you deliberately use Pond Weather or another weather-dependent feature; and
  • other public data providers contacted when you deliberately use a feature that requires their information.

Information is shared only as needed for the service being requested, to operate or secure AquaNexus, where you deliberately initiate a transfer, or where disclosure is required by law. Third-party services may process information under their own privacy terms.

Data retention and deletion

Local app data: Aquarium records stored by the app remain on your device until you delete them, clear the app's storage, or uninstall the app, subject to Android's own storage and backup behaviour. Backup or export files stored outside the app remain until you delete those files separately.

Website forms and communications: Information you submit through website forms may be retained for as long as reasonably necessary to respond to you, manage the early-access list, maintain records of consent, protect the service, or meet applicable legal obligations. You can unsubscribe from email updates at any time.

Submitted diagnostic reports: Diagnostic information you choose to send may be retained for as long as reasonably necessary to investigate the reported problem, confirm a fix, maintain security or reliability records, and prevent repeat failures.

Online technical logs: AquaNexus and its infrastructure providers may retain limited technical or security logs for periods reasonably necessary to operate, secure and troubleshoot the service.

AquaNexus currently does not require an AquaNexus user account for normal app use, so there is no mandatory cloud account that must be deleted to stop using the app.

Your choices and control

You can manage or delete records inside the app, choose whether to create backups or exports, decide whether to use online features, decide whether to pair another device for Local Wi-Fi Sync, decline an optional diagnostic report, and manage Android permissions through device settings.

You can unsubscribe from website email updates using the unsubscribe option provided with those communications. To request deletion of identifiable personal information previously submitted to AquaNexus, use the dedicated AquaNexus Data Deletion page.

Security

AquaNexus uses reasonable technical and organisational measures appropriate to the information being handled. AquaNexus online services are delivered using encrypted HTTPS connections. Local data security also depends on the security of your Android device, your backups and exports, and any local network used for device-to-device transfer.

No storage or transmission method is completely risk-free. Keep your device, local network and exported backup files secure, and only transfer data to devices you trust.

Changes to this policy

We may update this Privacy Policy when AquaNexus features, data practices, service providers or legal requirements change. The current version and its last-updated date will be published on this page. Material changes that affect app data handling should also be reflected in the app and Google Play disclosures where required.
